Start with your operating priorities

Private schools and universities combine classrooms, dormitories, laboratories and other uses with different costs and schedules. Private school dormitories are a particular focus where the institution pays utilities and recurring building expenses. Map costs and responsibilities to the buildings included in the review.

Review the costs and systems together

The AssetMax approach connects the operating-expense record with the later utility, building-systems and insurance review. The scope is agreed for your properties rather than assumed from a sector label.

Campus operating expenditure

Review relevant supplier agreements, recurring service costs and utility accounts. Establish how financial records map to individual buildings or entities.

Mixed building uses

Consider appropriate HVAC, lighting, controls and water systems alongside actual schedules, equipment and operating needs.

Budget and capital priorities

Evaluate the scope, expected performance and financing requirements before deciding which recommendations merit further work.

Private school dormitories and residence halls

Review hot water, heating, cooling, lighting, laundry and recurring services where these are paid by the school or property owner. Separate residential costs from teaching and other uses. Assess proposed changes around occupied rooms, student comfort, access and the academic calendar.

Receive findings for the next decision

The report connects reviewed records, potential opportunities and material assumptions with recommended actions. Evaluate projected benefits and implementation requirements before approving the next step.

Plan around the property

Plan with finance and facilities around academic calendars, occupied residences, events and specialist spaces. Evaluate measures against the requirements of the buildings included in the engagement.

A practical first step

Discuss your properties and priorities with Robert. Start the free SpendVue assessment with the signed assessment Engagement Letter and twelve months of Accounts Payable reports; utility, insurance and building records are requested for the full AssetMax audit after the findings meeting, Master Services Agreement and $5,000 advance.

Before you decide

Does AssetMax cover private school dormitories?

Yes. Discuss school-owned dormitories and residence halls as part of the property scope. Identify which bills the institution or owner pays, who controls supplier agreements and how expenditure is recorded. Findings and implementation decisions should reflect the residential buildings and their actual operating responsibilities.

Can a campus-wide Accounts Payable report be used?

Discuss the export and its scope with Robert. A consolidated report may cover multiple buildings or entities and need mapping for the review. Do not produce duplicate uploads or assume that expenditure can be allocated automatically. The team can establish the appropriate engagement and reporting scope.

Will work be planned around teaching schedules?

Academic calendars, building use, maintenance and technical dependencies inform access and sequencing. The institution and delivery team agree the implementation scope, timing and approvals for each measure.

What information is needed to begin?

The free SpendVue assessment begins after the assessment letter is signed and twelve months of Accounts Payable reports are received by email. You do not need to gather utility bills or arrange a site visit to make an inquiry. After the SpendVue findings meeting, signed Master Services Agreement and $5,000 advance, the team requests the utility, insurance and building information needed for the next stage.

Does requesting an audit commit us to an engagement?

No. An inquiry starts a conversation about your properties and priorities. It does not accept the engagement letter or client terms, authorize work or start an audit. Scope, responsibilities and commercial obligations are agreed separately before the audit begins.
